A Flexible Reminder System for Online Assessments

About Optimus

Optimus is a B2B SaaS assessment platform used by educational institutions to conduct online assessments and analyze student performance for placement preparation. This is how I designed a reusable reminder workflow that reduced manual effort while fitting seamlessly into Optimus’ assessment creation experience.

Understanding the problem

During user interviews, I observed that administrators frequently reminded students about upcoming assessments by sending emails manually. While this process worked, it introduced repetitive operational work and relied heavily on manual execution.


Interestingly, this behavior wasn’t universal. Around 60% of administrators actively sent reminder emails, while the remaining 40% scheduled assessments only a few hours before they began, making reminders unnecessary.


This insight changed the direction of the feature. Instead of forcing reminders on every user, I designed the experience so administrators could choose whether to configure additional reminders.

Constraints

Existing assessment workflow couldn’t change dramatically.

One mandatory system reminders already existed.

Maximum of two additional reminders

Needed to work across Schedule, Edit, and Duplicate flows.

Reusable component.
